Job Description

Position Overview

The Administrative Support and Graphics Specialist provides high-level administrative, documentation, and graphics support for program operations and executive leadership. This role is responsible for compiling, editing, and producing a variety of professional documents including reports, proposals, manuals, cost estimates, briefings, and presentations.

The specialist integrates text and graphics to create clear, cohesive, and visually effective deliverables using standard office and graphic tools. Key responsibilities include preparing spreadsheets, reports, and PowerPoint presentations, as well as reviewing materials for typographical accuracy, grammar, spelling, punctuation, and overall format before submission for leadership approval.

Core Responsibilities

  • Support executive communications and meeting coordination, including organizing information for executive briefings, preparing meeting agendas, tracking action items, and documenting key discussion points and decisions
  • Draft executive communications based on meeting notes and ensure timely follow-up on assigned actions
  • Coordinate logistics for high-visibility seminars, conferences, and program meetings
  • Prepare and maintain technical, operational, and program documentation under minimal supervision
  • Support project documentation, administrative reporting, and internal documentation management
  • Maintain an organized documentation library to ensure materials remain current, accessible, and properly archived
  • Provide detailed analysis of information and highlight key findings and recommendations
  • Create visually effective graphics and design elements for professional deliverables

Key Skills Required

This role demands proficiency in Microsoft Office Suite, particularly Excel and PowerPoint, combined with strong graphics design capabilities.
