The Role
We're seeking a highly detail-oriented and organized Media Coordinator to support our agency team in executing high-stakes campaigns with precision and excellence. This instrumental position owns critical campaign components including UPC mapping, URL creation and quality assurance, and creative trafficking processes across top-tier multi-location partnerships. You'll collaborate with cross-functional teams to ensure all campaign assets are accurate, timely, and optimized for maximum performance.
Key Responsibilities
Campaign Execution & Support
- Own UPC mapping workflows using Excel and internal mapping tools; ensure product-level accuracy across onsite and offsite campaigns.
- Manage URL generation and quality assurance, verifying that tracking parameters are correct and functioning properly.
- Traffic and organize all creative assets with proper naming conventions, version control, and delivery aligned with creative rotation specifications in tracking systems.
- Conduct comprehensive QA on campaign components prior to launch to guarantee accuracy and compliance with media specifications.
- Maintain detailed campaign asset trackers and documentation in Monday.com for internal visibility, version control, and stakeholder transparency.
- Support the preparation and execution of multi-location partnership campaigns with meticulous attention to detail.
Cross-Functional Collaboration
- Work seamlessly with Customer Experience (CX) and Media teams to align on campaign deliverables, timelines, and quality standards.
- Communicate proactively and clearly to identify gaps, confirm asset requirements, and ensure deadlines are consistently met.
- Maintain exceptionally high accuracy standards across all campaigns while developing scalable, repeatable systems for efficiency.
- Serve as a reliable point of contact for campaign coordination and troubleshooting across departments.
What You Bring
- Advanced Excel Proficiency: Demonstrated expertise with pivot tables, VLOOKUP functions, data validation, and other advanced spreadsheet techniques for complex data mapping and management.
- Project Management Platform Experience: Proficiency with Monday.com, Jira, or similar project management tools for asset tracking, workflow management, and team coordination.
- Attention to Detail: Exceptional ability to catch errors, maintain accuracy in data-heavy processes, and ensure compliance with specifications and standards.
- Organizational Skills: Strong capability to manage multiple campaigns simultaneously, prioritize effectively, and maintain clear documentation and version control.
- Communication Abilities: Clear, proactive communication style with ability to collaborate effectively across teams and escalate issues appropriately.
- Technical Aptitude: Comfort learning new tools and platforms; understanding of URL parameters, tracking mechanisms, and campaign trafficking workflows is valuable.
- Problem-Solving Mindset: Ability to identify workflow inefficiencies and propose scalable solutions that improve team productivity.
- Experience in digital media, advertising operations, or agency environments is a plus.
